1. Who we are and what this policy covers
Activio is an AI-powered athletic training service operated by Method Four in Vancouver, British Columbia, Canada. This Privacy Policy applies to the Activio website, applications, and related services (collectively, the “Service”).
Method Four is responsible for the personal information under its control. If you have a privacy question or request, contact us at support@methodfour.com.
2. Information we collect
The information we collect depends on how you use the Service and may include:
- Account and authentication information: name, email address, account identifiers, sign-in method, and session or security information. If you sign in with Google, we receive information Google makes available with your permission, such as your name and email address.
- Profile and training information: your role, age, gender, height, weight, sports, athletic level, training goals, available equipment, schedule, preferred training time, and injuries or physical limitations you choose to provide.
- Content and activity: chats and prompts, AI responses, workout programs, assigned exercises, completion history, ratings, notes, notifications, and images, videos, or other files you upload for analysis.
- Relationship and sharing information: coach-athlete and parent-child connections, invitations, and notes or feedback created through those relationships.
- Technical and usage information: browser and device information, IP address, timestamps, pages or features used, logs, and diagnostic or security events. We also store your theme preference locally on your device.
- Communications: information you include when you contact us for help, provide feedback, or make a privacy request.
Please provide only the information needed to use the Service. Training and injury information can be sensitive, even though Activio is not a healthcare provider or medical-record service.
3. How we use information
We use personal information to:
- create accounts, authenticate users, and keep the Service secure;
- provide, personalize, and maintain athletic training features;
- generate AI responses, training programs, and form-analysis feedback;
- support coach, athlete, and parent collaboration that users authorize;
- deliver in-product notifications and respond to support requests;
- understand usage, troubleshoot problems, and improve performance and safety;
- prevent fraud, abuse, and violations of our Terms; and
- comply with legal obligations and protect our users, Method Four, and others.
Where consent is the appropriate basis for a use, you may withdraw that consent, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may mean we can no longer provide some or all of the Service.
4. AI processing
Activio uses third-party AI services to provide personalized training guidance and analyze content. Prompts, relevant profile context (which may include training goals and injuries or limitations), and files you submit may be sent through Vercel's AI Gateway to model providers, including OpenAI and Google, to generate a response.
Do not submit information about yourself or another person that is unnecessary for your request. AI output can be incomplete or incorrect and is not medical advice.
5. When we share information
We may disclose personal information in the following circumstances:
- Service providers: companies that help us operate the Service, including Clerk for identity and authentication; Vercel for hosting, analytics, and AI routing; Neon for database infrastructure; and AI model providers such as OpenAI and Google. They process information for the services they provide to us and under their own applicable terms and privacy commitments.
- People you connect with:coaches, athletes, and parents may see information made available through an accepted connection. For example, an accepted parent connection permits the parent to view the child's training progress and workout programs. Review invitations before accepting them.
- Legal and safety reasons: if reasonably necessary to comply with law or legal process, enforce our Terms, investigate abuse, or protect rights, safety, and security.
- Business changes: in connection with a financing, reorganization, merger, sale, or transfer of all or part of the business, subject to appropriate confidentiality and legal requirements.
- With your direction or consent: when you ask us to share information or otherwise authorize the disclosure.
We do not sell personal information or use it for third-party targeted advertising.
6. Cookies, local storage, and analytics
Activio and Clerk use cookies and similar technologies that are necessary for login, session management, security, and core functionality. We use browser local storage to remember your light or dark theme. Vercel Analytics helps us understand aggregate Service usage and performance. We do not currently use advertising cookies.
Your browser may let you block or delete cookies and local storage. Doing so may prevent authentication or other features from working correctly.
7. International processing
Method Four is based in Canada, but our providers may store or process information in Canada, the United States, and other countries. Information processed outside your province or country may be subject to the laws of that jurisdiction and may be accessible to courts, law enforcement, or government authorities there.
8. Retention
We keep personal information only for as long as reasonably necessary to provide the Service, meet the purposes described in this policy, resolve disputes, maintain security, and satisfy legal obligations. Retention periods vary by information type and context. When information is no longer needed, we delete or de-identify it, or securely isolate it until deletion is possible. Limited copies may remain in backups for a period of time.
9. Security
We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls and trusted infrastructure providers. No online service or storage system is completely secure, so we cannot guarantee absolute security. Protect your account credentials and contact us if you suspect unauthorized access.
10. Your choices and privacy rights
Depending on where you live and subject to applicable law, you may ask to access or correct personal information we hold about you, request deletion, withdraw consent, or ask questions about our privacy practices. You can update some information in your account. For other requests, including account deletion, email support@methodfour.com. We may need to verify your identity before completing a request.
If we cannot resolve a privacy concern, you may have the right to contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
11. Children and youth
Activio is not intended for children under 13, and we do not knowingly collect their personal information. If you are under the age of majority where you live, a parent or legal guardian must review and agree to these terms on your behalf and supervise your use of the Service. If you believe a child under 13 has provided information to us, contact us so we can investigate and take appropriate action.
12. Changes to this policy
We may update this policy as the Service or legal requirements change. We will post the revised policy here and update the date above. If a change is material, we will take reasonable steps to provide additional notice.
